FPMG, LLC (“FPMG,” “we,” “us,” or “our”) provides community association management services. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use camflorida.com, submit a form or document, request community services, communicate with us, or receive services from an association managed by FPMG.

1. Information We Collect

Depending on your relationship with FPMG and the service requested, we may collect:

• Contact information: name, email address, telephone number, mailing address, and preferred contact method.
• Association and property information: association name, property address, unit or account number, ownership or occupancy status, and related community records.
• Application information: applicant, co-applicant, occupant, employer, landlord, emergency-contact, lease, purchase, pet, vehicle, insurance, identification, and other information required by the applicable association.
• Closing-document information: owner or seller name, property and unit information, closing date, title company, lender, requester information, questionnaires, estoppel requests, ledgers, and supporting records.
• Resident-service information: vehicle and parking details, call-box or telephone-entry information, fob or access-device requests, maintenance or management inquiries, and service history.
• Payment information: transaction amount, status, date, and processor reference. Payment-card information is handled by the payment processor and is not intended to be stored by FPMG on this website.
• Communications: emails, telephone calls, text messages, voicemails, form submissions, correspondence, and records of requests and responses.
• Technical information: IP address, browser and device information, approximate location derived from IP address, pages viewed, referring pages, timestamps, cookies, and similar website-usage information.

Do not email Social Security cards, full payment-card numbers, passwords, or other unnecessary sensitive information. When sensitive documents are required, use only the submission method identified by FPMG for that request.

2. How We Use Information

• Provide community association management and administrative services.
• Process applications, leases, renewals, estoppels, questionnaires, and resident-service requests.
• Verify information and coordinate an association’s review or decision.
• Communicate with owners, residents, applicants, boards, vendors, title companies, lenders, attorneys, and other authorized participants.
• Collect and reconcile disclosed fees and maintain transaction records.
• Operate, secure, troubleshoot, and improve our website and service workflows.
• Maintain association records, audit trails, and legal or regulatory documentation.
• Detect fraud, misuse, security incidents, or unauthorized access.
• Comply with contracts, governing documents, board direction, court orders, and applicable law.

Submission or payment does not itself constitute association approval, completion of a requested document, or confirmation that an access-system update has been made.

3. How We Disclose Information

We may disclose information when reasonably necessary to:

• The association, its board, committees, legal counsel, accountants, auditors, insurers, and authorized representatives.
• Service providers that support hosting, payment processing, communications, electronic signatures, document storage, association management, authorized screening, and security.
• Title companies, lenders, attorneys, real-estate professionals, owners, applicants, or other transaction participants as directed or reasonably required for the requested service.
• Government agencies, courts, law enforcement, or other parties when required by law or necessary to protect rights, safety, property, or system integrity.
• A successor organization in connection with a merger, acquisition, restructuring, or transfer of management responsibilities, subject to appropriate safeguards.

We do not sell personal information. We do not share mobile information or text-messaging opt-in data and consent with third parties or affiliates for their marketing or promotional purposes.

4. Payments

When an online fee is required, payment information may be collected directly by a third-party payment processor such as Stripe. The processor’s privacy policy and terms govern its handling of payment-card information. FPMG may receive transaction identifiers, payment status, amount, date, payer information, and limited fraud-prevention information needed to administer the request.

Resident-service forms such as routine parking, vehicle, call-box, or access updates do not carry an online fee unless a charge is specifically disclosed for the applicable association and request.

5. Text Messages and Telephone Communications

If you provide a mobile number and expressly consent to receive text messages, FPMG may send community association and property-management communications such as maintenance notices, emergency or public-service announcements, access updates, appointment reminders, application or document-request updates, and account-related notifications.

• Consent to receive text messages is not a condition of purchasing goods or services.

6. Cookies and Website Analytics

We may use cookies and similar technologies necessary for site operation, security, form functionality, preferences, and basic analytics. You can limit cookies through your browser settings, but parts of the website may not function correctly. We retain information only as long as reasonably necessary for the purpose collected, the association’s recordkeeping obligations, dispute resolution, security, contracts, accounting, insurance, and applicable law. Retention periods vary by record type and association requirements. When information is no longer required, we take reasonable steps to delete, destroy, or de-identify it.

We use reasonable administrative, technical, and physical safeguards designed to protect information. These measures may include access controls, role separation, secure transmission, service-provider controls, logging, backups, and restricted handling of sensitive documents. No electronic transmission or storage method is completely secure, and we cannot guarantee absolute security.

9. Your Choices and Requests

You may ask to review or correct information you submitted, update communication preferences, or request deletion where retention is not required by law, contract, governing documents, or legitimate association operations. FPMG may need to verify your identity and authority before acting on a request.

10. Children’s Privacy

The website and FPMG’s services are not directed to children under 13. We do not knowingly collect personal information directly from a child under 13 through the website without appropriate authorization. Contact us if you believe such information was submitted improperly.

The website may link to or interact with services operated by other organizations, including resident portals, payment processors, communication providers, document-ordering platforms, and association-management systems.
